Oversight of
Bookkeeping
and
Accounting Personnel
In many instances, a company will have their own independent accounting
personnel. This area does not deal
directly with doing the actual initial work, such as data input, but it deals
with oversight of the work that has been performed by the staff. In some
instances, this work (such as data input and other general bookkeeping tasks)
may be completed by the management which may be the case with smaller
companies.
BC Business Services, Inc. task is to take the information that has been input
into your accounting system, and review it for accuracy. In the process of
doing so, we may revise records, change how specific items are categorized and can
make general recommendations as to how it may be done more proficiently.
To many companies, this is a service that gives the
management a better peace of mind, knowing that a fully trained accountant can
overlook the books whenever it is necessary. And also someone they can ask
questions to if need be.

Though there really is no specific answer to this question, we recommend that a
company does this at least 2 times a year or even quarterly to be more prepared,
in preparation for income tax filings. Though it really is up to the company as
to how often you wish to have our company do this, we do recommend that it be
done at least twice a year and normally, if possible, on a quarterly basis.
This will of course depend on how much work has been done.
If the company is a
smaller company, it may be sufficient to do it even once a year before doing
the taxes which we can do if that is the case, as we also do income tax
preparation. If however the company has
many transactions, it may be necessary to review the books more often to avoid compounding
errors which can be time consuming to fix in most cases.
The overall question that really needs to be
answered is how confident you are that the books are right, that things have
been categorized properly and if it is necessary to change things, how often
will it take to do that. This really is the true question that needs to be
answered. If you just need a person to overlook it and say good to go with a
few minor changes, and maybe answer a few questions, then review can be done
less frequently.
In most to all cases, it will be necessary for our company to have access to
your books while we are working on them.
With many programs, QuickBooks included, Accountant Copies unfortunately
will not allow for changes to certain items to be made and would result in more
work for the client. In such instance, it is necessary to have complete access
to the full accounting books in order to complete this task.
In such sense,
only one use of the program will be able to be used at the time. This of course
may not be the case if you have an online system where it would allow more than
one person to work on the books at the time.
In most cases, we can complete the work in a matter of day or so. In other
cases, depending on the company size, it can of course take longer for the
review and any changes that may be made to the books.
We will do our best to do
it as quickly as possible of course and if necessary schedule it for days that
you may not need to use the books. Even doing it over the course of time will
be okay, so long as it gets completed.
Of course the answer to this question is Yes. We keep track of all matters
that we have worked on and in cases where the program will allow for Audit
Reports, we can show that as well. In cases where a group of information needs
to be changed or accounts added and such, we will do our best to give you a
generalized overview of what work was done and of course why it was done.
Again, in some cases, it will be necessary to re-categorize items which in some
cases will include the necessity of creating new accounts and otherwise. In
light of the work, we will do our best to make it as error and worry free on
you as we possibly can.
We can. In many cases, again, many companies may already have fully trained
personnel to do the work. However, it does not hurt to have another person
review such work for accuracy and to ensure that problems are not developing,
which again, can in some cases take much time to fix. It really is up the
company on this matter though.
When it comes to answering questions or showing
personnel how to better do things or where to categorize certain items of
course we will do our best to do that. In some instances we may have to sit
down with them and go over what exactly needs to be done so that the work is
completely as efficiently as possible.
And if it’s just a quick question, we
are just a phone call away. In some
cases of course it may be necessary for us to research certain matters, as they
are not generally speaking, of a normal everyday nature, but this is not likely
to happen unless it is a rather complex issue. Even so, we will let you know
before we have to do so.

factors involved with the work that needs to be performed.
If records need to be reviewed which are located at your office, it may be more
feasible to meet at your location. Generally speaking however, we can normally
do most of the work that we may need to at our location and discuss with you
the best alternatives as to whether or not this is the case.
